As part of your Barn rental, we provide assistance with anything Barn-related. Think parking, sound system, layout, garbage removal, and bathroom maintenance. However, if you want to spend the day enjoying your event and not worrying about vendors, timeline, cake spills (it happens), and the like, we would love to set you up with a day-of coordination package as an add-on to your Barn rental.
Day of Coordination Services – $1,000
One Month Before the Big Day:
We will meet with the Bride and Groom to go over your vision for your big day. We want all the details, exactly as you have planned them. What we would need from you at this meeting:
- Vendor selections & their contact information (so we can confirm all contracts)
- Setup requirements (Barn floorplan, as well as plans for any additional décor)
- Rough timeline (we will provide an outline for you to fill out for us). Using this, we will create a comprehensive, hour by hour timeline for your event, so that we both have an idea of what you want the day to look like. Don’t worry! We’ll guide you through this whole process.
Two weeks before:
- At this time, we’ll confirm all details and go over the full timeline. We will send a copy of the final timeline to all vendors and make sure they know exactly when to arrive at the Barn.
- We’ll also confirm the barn layout. Final guest count will need to be given at this meeting.
Rehearsal Day:
- If you are having your ceremony at the Barn, we will coordinate with your wedding officiator to choreograph the wedding ceremony (including where the wedding party will come in, what order the wedding party will enter, where reserved seats are, etc.)
- Walk through wedding ceremony
- Answer any last-minute questions
Wedding Day
- Make sure all reception items are placed prior to ceremony
- Ensure all vendors arrive on time and are directed to their specified location.
- Communicate with wedding party to ensure that they are getting ready and planning to arrive on schedule.
- Verify wedding party is aware of any last-minute details
- Coordinate wedding party & photographer to ensure everyone is in place for all necessary photos
- Setup all ceremony items (programs, guest book, etc.)
- Handle any last-minute emergencies
- Communicate seating chart to ushers.
- Ensure wedding party is in line on time.
- Cue ceremony musicians/music when wedding party is ready to begin processional.
Reception
- Ensure seating chart/escort cards are in place (if applicable). If no seating chart, direct guests to open seats.
- Assist DJ with wedding party entrance (and ensure wedding party is ready for entrance once most guests have arrived)
- Coordinate details of dinner (dismissal of tables, etc.)
- Coordinate announcements with DJ and any speeches by wedding party
- Coordinate garter toss/bouquet toss (if applicable)
- Notify bride and groom when it’s time for cake cutting
- Prevent and correct any problems that might arise during event
